Add Users to the Bookkeep App within Shopify
Give Store Staff Access
Employees and receivers don't need an invitation or a Bookkeep sign-up. Each person opens the Bookkeep app from the store's Shopify admin while signed in to Shopify as themselves, and Bookkeep links them to the store's entity.
Someone new to Bookkeep sees You're all set! and gets an email asking them to confirm their address. They should click the link in it by the date shown on that screen.
How People Get Access Through the Shopify App
Opening the Bookkeep app from a store's Shopify Admin can give that person access to the entity the store is connected to, without an invitation from Company Settings:
- The person who installs the app for a new store gets a company and entity of their own, which they own.
- The installer named on a connect request: when someone at your company connects a Shopify store and enters the installer's email, that person becomes an Admin of the entity when they open the app.
- Anyone else who opens the app from the store, such as store staff, is linked with External access: they can use Bookkeep Inventory in Shopify and nothing else. If Bookkeep doesn't know their email yet, they must confirm it first.
Your company's admins receive an email each time the Shopify app adds someone to one of your entities. These people appear on Company Settings → Users, often labelled Entity access only. Hover the info icon on their row to see exactly how they got access. See How to Invite and Delete Users.
If your company removed someone from an entity and they open the Bookkeep app in Shopify again, they come back with inventory-only access (External), even if a connect request names them as the installer.
