What are ‘Channels’?

Channels are the connections that Bookkeep makes to a sales or payment app(s), store(s), or physical location(s). Each channel contains individual sales information we access.

Examples: if you have one Shopify store and use PayPal, that’s two channels (1 connection for each). If you have multiple physical stores, each with a POS terminal, each store is considered 1 channel. If you have multiple stores on Shopify, each store is a channel since we access data for each store. Or if you have multiple instances of a POS for each of your physical locations, then each location is counted as 1 channel.

How does ‘Billing by Entity’ work?

A plan, and its pricing, apply to one legal entity that you own or maintain a chart of accounts for. If you have multiple legal entities, you will purchase a plan for each legal entity, depending on the needs of each entity (meaning you can mix and match plans on a per legal entity basis). You’ll get a single bill for all the entities that you manage.

What does ‘Billing per Account’ mean?

We bill at the Account level, meaning a company with multiple legal entities or a partner serving multiple legal entities will get 1 bill for all entities in your account.

How does the 14 days ‘Free Trial’ work?

Your free trial runs for 14 days. You can use all features, except post historical entries, i.e. run days that are more than 45 days ago. Once your trial ends, you will be charged on a monthly or annual basis, starting at that point in time. If you cancel your service at any point during the trial, you won’t be charged on your card at all. A trial can be run at the account level, meaning you can setup up to 5 entities, and post to an accounting system.
We ask that you put a card on file at the start of your trial, so you’ll be all set and ready to go!

Please explain ‘Billing Upfront’


We bill customers at the beginning of the billing period rather than at the end of the billing period. If you are already a customer, bookkeep will be in touch to transition you to a current pricing plan and also upfront billing. Details will be communicated to each customer, along with a special offer as a thank you during the transition period.

What is a ‘Billing Cycle’?

A billing cycle is the monthly or annual time interval at which Bookkeep bills your plan fees and charges.

How do ‘Annual Subscriptions’ work?

Annual subscriptions are available on bookkeep.com only, and an annual subscription will be billed upfront at a 25% discount for the entire year. If you are already an existing annual plan customer, bookkeep will be in touch to transition you to an annual plan based on our current pricing plan and also upfront billing. Details will be communicated to each customer, along with a special offer as a thank you during the transition period.

How is this different from past plans and past pricing?

We have removed the concept of standard and premium apps and also removed the concept of purchasing based on accounting entries. We have added the concept of pricing based on revenue processed which allows us to offer the right number of channels and merchandise volume for each plan.

What are ‘Historical Journal Entries’?

Historical data entries are journal entries yu ran for revenue that took place more than 45 days before that entity became a paid subscription. In case you want to backload historical data for a prior year – those entries would be considered “Historical Journal Entries”.

I signed up through Shopify. How does billing work?

If you signed up for Bookkeep using the Shopify app store, your billing will be done within Shopify and not by Bookkeep. Please refer to this page to learn all about Shopify billing (hyperlink in spec).

Please note that Annual Subscriptions are NOT available through Shopify.

How am I billed if I pick a Bookkeep subscription plan during my trial period?

If you pick a plan during your free trial, then you’ll receive your first bill on the day that your free trial finishes. If your free trial already expired, then you’ll receive your first bill on the day that you pick a subscription plan. The payment is taken automatically, so there isn’t anything else that you need to do after picking a plan. Bookkeep bill charges show up on your credit card statement as: Bookkeep* <bill number>.

Can I pay with a credit card?

Yes. You can pay your Bookkeep bill by using a credit card, or a debit card branded with Visa, Mastercard or Amex.
