How to Set Up TikTok Shop with Bookkeep

Bookkeep turns the income export from TikTok Shop Seller Center into two journal entries: a daily TikTok Shop Summary of delivered sales, fees and refunds, and a TikTok Shop Deposit for each payout TikTok sends to your bank. You send the export file to Bookkeep, and Bookkeep creates the connection, loads the data and builds the entries.

info

TikTok Shop does not yet give Bookkeep a direct data feed. Until it does, you send the Seller Center export to Bookkeep whenever you want entries built or refreshed. The same connection and entries will carry over when the direct feed is available.

1. Export the income file from Seller Center

In TikTok Shop Seller Center, go to Finance, open your statements, choose the date range you want, and click Export. TikTok downloads an Excel workbook named income_<date and time>.xlsx with the tabs Order details, Statements and Payments.

A few tips:

  • Export generously. The file can cover any range, and sending a range that overlaps an earlier export is fine: Bookkeep never loads the same settlement line twice.
  • Keep the file exactly as TikTok produced it. Do not open and re-save it, rename tabs, or delete columns. Send the .xlsx as downloaded; a zip containing it is also accepted, but nothing else should change.
  • The export must include the Payments tab. Bookkeep reads your shop's code from the notes on that tab (the TikTok Shop-XXXXXXXXXX text) to tell your shop apart from any other shop on the same entity. A file without it is rejected.

2. Send the file to Bookkeep

Open the entity in Bookkeep and go to Settings → Bookkeep Email. You have two options, and both end up in the same place.

Email it. Send the export as an attachment to the entity's Bookkeep email address shown on that page. Any user on the entity can send it.

Upload it. On the same page, choose the file under Upload a file and click Upload. Accepted types are .xlsx, .xls, .csv, .pdf and .zip, up to 100 MB. The upload is recorded under your name.

Either way the file is first scanned for malware, then stored, then imported. The import runs in the background and a large export (a year of orders can be 50 MB and over 100,000 lines) takes a few minutes.

3. Check the result

The file appears in the Received files list on the Bookkeep Email page. When the import has finished, the row shows:

  • the shop code, linking to the connection under Connections → Apps;
  • how many lines were read and how many were new, plus statements and payments loaded, and how many earlier lines moved from pending to paid;
  • the range of delivered order dates and the range of payout dates in the file. These are the dates to run in step 5.

If the file could not be read (a missing tab, a required column TikTok renamed, no shop code in the Payments notes) the row shows failed with the reason. Contact support@bookkeep.com with the file and we will add the new column name.

4. Map the connection

The first import creates a connection named TikTok Shop <shop code> under Connections → Apps with two journal entry templates. If the entity already has a TikTok Shop connection for the same shop, the file is attached to it instead.

Click Setup on the connection and Map each template to accounts in your accounting platform. The magic wand creates an account for you if you do not have one yet.

  • TikTok Shop Summary: gross sales, discounts, shipping income, refunds, fees, adjustments, sales tax collected and withheld, and the TikTok Shop Balance clearing account.
  • TikTok Shop Deposit: the TikTok Shop Balance clearing account, your bank account, and a reserve balance account.

Map Sales Tax Collected and Withheld Sales Tax to the same liability account. TikTok Shop collects and remits sales tax as a marketplace facilitator, so the two lines net to zero and no tax liability is left on your books.

See TikTok Shop Journal Entries for what each line contains.

5. Run the date range to create the entries

Importing a file loads the data; it does not create journal entries by itself, and TikTok Shop entries are not built on a daily schedule. You create them by running the dates in the file from the connection's Activity view:

  1. Set both templates to ON under Connections → Setup. Import Dates only offers templates that are on.
  2. Open Activity for the TikTok Shop connection.
  3. Click Import Dates, pick the TikTok Shop Summary template, and enter the delivered range shown on the received file.
  4. Do the same for the TikTok Shop Deposit template with the payout range.

Bookkeep builds one summary per delivered day and one deposit per payout in that range, and they appear in the Activity list ready to review and post, like any other entry.

Running a date that already has an entry updates that entry in place. Nothing is ever posted twice, so you can send a wider export later and run the same dates again to pick up refunds, adjustments and payouts that settled after your first export.

Keeping it current

A simple routine is to export the last month (or the whole year to date) from Seller Center once a week, send it to Bookkeep, and then run the delivered and payout ranges shown on the received file from Activity. Each pass adds only the lines that are new and refreshes entries whose figures changed.

If a deposit entry shows as failed with a message about a pending statement, TikTok paid out a statement that your export still showed as pending. Send a newer export and run that payout date again.
