Post Revenue by Product Type, Product Name, or Variant Name

Categories and Subcategories in Journal Entries

When completing a journal entry mapping, there are categories and subcategories. Categories must be mapped or the journal entry will fail to post to your accounting platform. Subcategories are optional, but they provide an additional layer of detail that can be synced to your accounting platform.

Below is an example showing Gross Sales as the category with its subcategories beneath it:

The subcategories can be revealed by clicking the caret on the right of a line item. If the caret isn’t visible, that line doesn’t have subcategories.

Optional Subcategory Mapping

The subcategories are optional to map. In the Shopify Sales Summary, Bookkeep offers flexible subcategory options pulled directly from Shopify for Gross Sales and Returns. You can now choose from three sales rollup methods:

  1. Product Type – Groups sales by the Shopify product type (e.g. Apparel).

  2. Product Name – Breaks down sales by the individual product’s title (e.g., “T-Shirt”).

  3. Product Variant Name – Provides the most granular view by rolling up sales by specific variant titles (e.g., “T-Shirt – Large”). If available, Bookkeep appends the SKU to the end of the subcategory label.

This means you can elect to break down sales and returns by product type, by product name, or by the product’s variant name, depending on the level of detail you want in your accounting reports.

Creating Accounts with the Magic Wand

If you don’t have accounts set up yet in your accounting platform, click the Magic Wand icon to the right of a line. This will automatically create an account and map that line to it.

Once created and mapped, Gross Sales will post to that account in your accounting platform. Returns or refunds can also be mapped and posted to the same accounts, enabling deeper visibility into product performance.

Changing the Default Rollup Method

By default, Bookkeep's Shopify automation posts revenue by product type. However, if you want to change the way sales are grouped—such as by product name or by product variant name—you can do so in your Bookkeep settings:

  1. Go to the Connections page in Bookkeep.

  2. Click on the My apps tab.

  3. Find your Shopify connection and click Configure (as shown below in blue):

  4. In the Sales Rollup Method dropdown, select your preferred rollup option:

    • Product Category — Groups sales by Product Type (default)

    • Item Name — Groups sales by Product Name

    • Variant Name + SKU — Groups sales by Product Variant Name, with the SKU appended

Selecting a different rollup method will affect how the subcategories for Gross Sales and Returns are displayed and reported in your accounting platform.

Note:

If you update the sales rollup method, you must refresh the relevant entries for the updated data to populate in Gross Sales and Refunds.
